Who is responsible

The data controller is PILCROW, a non-profit association registered in Valencia, Spain. For any question about this policy or your data, write to office@pilcrow.es. Our postal address is not published on this site; we will provide it on request for formal purposes.

What we collect and why

• Contact form: your name, e-mail address, organisation, country, enquiry type and message. We use this only to answer you. Lawful basis: your consent.
• Partnership enquiries by e-mail: whatever you choose to send to projects@pilcrow.es. There is no partnership form on this site, so we hold only what you write to us. We use it to assess and respond to your proposal. Lawful basis: steps taken at your request prior to entering into an agreement.
• Opportunity enquiry form: the opportunity concerned, your name, country, e-mail, motivation, confirmation that you meet any age requirement, and any accessibility or support needs you choose to tell us. Lawful basis: your consent. Access needs are used only to make the activity work for you and are deleted after the activity.
• Server logs: your IP address, browser type and the pages requested, retained by our hosting provider for security and troubleshooting.

What we do not collect

This site sets no advertising or analytics cookies and embeds no social media tracking widgets. There is no Instagram feed loading third-party scripts, the Instagram link is an ordinary link. We do not profile visitors and we do not sell or share data with advertisers.

Special category data

Do not send us health information, information about a criminal record, or details of a safeguarding concern about a named person through these forms. If you need to raise a safeguarding concern, write directly to office@pilcrow.es with 'Safeguarding' in the subject line so it is handled under our safeguarding procedure rather than as a general enquiry.

How long we keep it

• General enquiries: up to 12 months after the exchange ends.
• Partnership enquiries: for the duration of the assessment and, if a project proceeds, for the retention period required by the funding programme.
• Opportunity enquiries: until the activity ends, plus any retention required for programme reporting.
• Accessibility and support needs: deleted once the activity has finished.

Who else sees it

Form submissions are delivered to PILCROW e-mail addresses hosted by our e-mail provider and stored on our website's hosting infrastructure. Both providers act as processors under contract and are located in the European Union. We do not transfer personal data outside the European Economic Area for the operation of this website.

Your rights

You can ask for access to your data, correction, erasure, restriction of processing, portability, or object to processing, and you can withdraw consent at any time. Write to office@pilcrow.es. If you are not satisfied with our response, you can complain to the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es).
