Privacy policy

This policy explains what personal data pilcrow.es collects, why, how long we keep it and what rights you have. It is written to be read, not to be survived.

Who is responsible

The data controller is Asociación PILCROW (NIF G06859805), a non-profit association with its registered office at Calle Trafalgar 69, puerta 11, 46930 Quart de Poblet (Valencia), Spain. For any question about this policy or your data, write to office@pilcrow.es.

What we collect and why

  • Contact form: your name, e-mail address, organisation, country, enquiry type and message. We use this only to answer you. Lawful basis: your consent.
  • Partnership enquiries by e-mail: whatever you choose to send to projects@pilcrow.es. There is no partnership form on this site, so we hold only what you write to us. We use it to assess and respond to your proposal. Lawful basis: steps taken at your request prior to entering into an agreement.
  • Applications to mobility opportunities: the opportunity concerned, your full name, e-mail address, phone number if you give it, date of birth, city and country of residence, motivation, and any accessibility, dietary or support needs you choose to tell us. We use this to run the selection and, if you are selected, your participation: telling you the outcome, reminding you to confirm your place and sending you the next steps. Lawful basis: your consent. Support needs are used only to make the activity work for you.
  • Membership fee payment: if you pay by card, the payment is processed by Stripe. We receive only the confirmation of payment, the amount and the e-mail address you paid with, so that the fee can be recorded against your application. We never see or store your card details. Lawful basis: carrying out your request to take part.
  • Server logs: your IP address, browser type and the pages requested, retained by our hosting provider for security and troubleshooting.

What we do not collect

This site sets no advertising or analytics cookies and embeds no social media tracking widgets. There is no Instagram feed loading third-party scripts, the Instagram link is an ordinary link. We do not profile visitors and we do not sell or share data with advertisers.

Special category data

Do not send us health information, information about a criminal record, or details of a safeguarding concern about a named person through these forms. If you need to raise a safeguarding concern, write directly to office@pilcrow.es with 'Safeguarding' in the subject line so it is handled under our safeguarding procedure rather than as a general enquiry.

How long we keep it

  • General enquiries: up to 12 months after the exchange ends.
  • Partnership enquiries: for the duration of the assessment and, if a project proceeds, for the retention period required by the funding programme.
  • Applications that were not selected, or withdrawn by the applicant: anonymised automatically three months after the application deadline.
  • Applications of selected participants, including the tickets, invoices and boarding passes the participant uploads to their private area of the site for the reimbursement: deleted automatically twelve months after the activity ends. Only PILCROW can see those files. Any documents the funding programme requires us to keep for reporting are held outside this website, for the period the programme sets.
  • Accessibility and support needs: deleted together with the application.

Who else sees it

Form submissions are delivered to PILCROW e-mail addresses hosted by our e-mail provider and stored on our website's hosting infrastructure. Both providers act as processors under contract and are located in the European Union. We do not transfer personal data outside the European Economic Area for the operation of this website.

If you pay the membership fee by card, the payment is handled by Stripe Payments Europe, Ltd. (Ireland) on its own payment page and under its own privacy policy. Stripe tells us that the payment has been made; your card details never pass through this website.

Your rights

You can ask for access to your data, correction, erasure, restriction of processing, portability, or object to processing, and you can withdraw consent at any time. Write to office@pilcrow.es. If you are not satisfied with our response, you can complain to the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es).
